Managing your Email - Part 2: Being Organised
In part one I discussed the nightmare of ever increasing emails, some tips to reduce your mailbox size and a method of archiving old email.
In this article I will look at a more advanced way of managing your email – we will look in depth of one particular method of doing this – that is, my way!
I definitely do not want to say ‘Do it my way’, nor necessarily recommend you do it exactly this way; but I hope it will give you an insight in to the many different ways of managing email and help you formulate your own methods.
“My Email”
I receive a lot of emails. Many of them are very important (contractual emails), others are worthless (spam), some require a rapid response (emails from clients) and some I need to keep and refer to later (sign-up emails containing login details etc).
Using spider office I access my email via Outlook on my laptop, on my smartphone when on the move and via Outlook Web Access from various machines when I don’t have my laptop. continued...

Mike: What's the difference between a Mobile Phone, a Smart Phone and a PDA?
Ok, well a bog-standard mobile phone allows you to send and receive phone calls and text messages over the mobile networks, A PDA is a Personal Digital Assistant and is generally used by business men and women to manage their diary and documents while they are mobile; synchronising with their desktops once they return to the office. The mobile phone has evolved from telephony and communications and the PDA has evolved from the computer and information technology. These two areas of technology are converging as the internet evolves, lines are blurring and confusion creeps in when devices such as Smart Phones appear on the market. The Smart Phone combines the business capabilities of the PDA with the communication capabilities of the mobile phone giving you live access to your email, diary and contacts wherever you are without the need for manual synchronisation.

Buzz from the Board
Well into our second quarter spider office sales are still on the up in response to an apparent increase in demand for hosted services and a tremendous buzz around CRM. The upgrades to our hosting infrastructure were a success with minimal interruption to services and have set the foundation for serious scalability should this division develop in line with this year's forecasts.
As official development partners of Microsoft, Sage, SpliceCom and SIMS our software and integration services are also in high demand for solutions such as CRM, asset management and e-commerce. Our highest performing division we are on the lookout for new talent so keep your eyes and ears open for keen .Net developers that might want a shot at joining our team.
With sales and delivery in hand we have an increasing focus on customer service and internal training and development to further differentiate ourselves from our competition and become more proactive in our approach to looking after our clients. This is a continuous process of learning and implementation and any feedback from customers, partners and contacts will always be gratefully received.

Help! My computer is grinding to a halt!
I have been working in the technology industry for nearly 10 years, building computers, writing software, managing networks and eventually running a business; the one question I always get asked, by family, friends, customers and randoms is "what's slowing my computer down?" usually followed by "I only bought it recently, I've got plenty of RAM and I can't find any viruses".
Once i get over a small pang of indignation, realising that's all they think I'm good for, I start to sympathise, it IS utterly infuriating, I mean if your car got slower each time you used it you'd be pretty upset right? The problem is I never really have a very good answer, I can't very well advise them to backup their data, format their machine and re-install windows from scratch... which is what most lazy techies will do, rather than deal with the problems why not wipe the whole damn thing and start from scratch?
No, there are some things you can do, but first you need to work out whether it's the internet that's slow or your machine. This may sound obvious but the number of people who have complained that their computer is grinding to a halt when actually their computer has been at peak performance is phenomenal; what they really mean is that surfing the internet is slow and that changing from website to website is painful because of other things 'hammering' the internet connection. Larry's little surprise!
It had been a very long afternoon and Larry was stressed.
The quarterly sales meeting with Dr McDuff had gone on nearly two hours; the Scotsman could negotiate a fat kid out of a chocolate factory if that saved him money!
One haggle away from handing over the deeds to his house, his new smart phone told him he had 30 minutes to get back into the city, “Angus, if I’m not at Belgos in 30 minutes the missus will have my 'you know what's on a platter.”
“Aye, NUTS! Well ye can’neh keep the missus waitin'. How is the wee lassie?”
“Not as well as she could be actually Angus, she’s been sick every day for the last week and she’s all over the place emotionally - lack of sleep I suppose. About the price…”
“Belgos eh? Too rich for the likes eh me, aye expensive too, must be a special occasion…”
“No, not really, she must have had Mary book it directly into my diary… the price Angus please…”
The good doctor chuckled as he rose and shepherded Larry out the door, “Ye can have the full price laddie, congratulations! Best ne keep the missy waiting” with a sly wink he slammed the door in Larry’s face, who had no real choice but to walk on, wondering at the sudden and unexpected outcome of the meeting.
His windows smart phone confirmed Mary was ‘At her desk’ so he made a call:
“Mary, this meeting…”
“Yes and I bet you’re running late, that’s no way to treat a lady in her condition, get yourself to Belgos.”
The phone went dead. Belgos WAS his favourite restaurant, the last time she took him there she’d told him they were moving in together... ...
A cold, clammy dread of realisation slithered up his spine; sickness?, condition?, congratulations?, Belgos!, before he new it he was sitting down opposite her, his heart clenched in his chest, his whole being poised for the dreaded words about to come out of her mouth:
“Larry, I’m going to leave my job.”
OH THANK GOD! Thought Larry to himself
“OH THANK GOD!” exclaimed Larry aloud, “I thought you were going to say something else. I’ve been telling you to leave that place for ages, good for you! I’m just off to the loo to clean myself up, I love you so much!”
Larry rose with big sigh of relief and started towards the toilets; “Because I’m pregnant Larry” legs buckling underneath him, Larry crumpled into the next table and slid unconsciously to the floor taking most of the contents with him.
